Lead and operational connection

Automation that connects the work—and shows when it needs attention.

Reduce repetitive handoffs without hiding responsibility. Spectre Stacks builds scoped workflows between forms, email, customer records and business tools, with clear triggers, actions, exceptions and human review where it belongs.

Begin with one useful process

The first question is not which automation platform to buy.

It is what should happen, what information is needed, who is responsible and how a failure will be noticed. A small reliable workflow can be more useful than connecting every available tool.

One inbox, no escalation

A submitted form depends on one inbox and no escalation path

Incomplete or duplicate records

Customer records are incomplete or duplicated

No shared status across tools

Calendars, vendors, and internal owners do not share a reliable status

Messages without error handling

Automated messages run without error handling or human review

Credentials owned by a vendor

Credentials and integrations belong to a vendor instead of the client

Practical work that can be included

How we connect a reliable workflow

01 / Included

Inquiry routing

Send the right information to the person responsible for the service, location or request type.

02 / Included

Notifications and follow-up

Make receipt and next actions clear without sending duplicate or inappropriate messages.

03 / Included

Customer-record integrations

Connect existing forms and business tools where their available interfaces support the agreed workflow.

04 / Included

Human approval steps

Keep decisions that need judgment, authorization or sensitive handling with the right person.

05 / Included

Error handling and logs

Record what happened, identify unsuccessful steps and provide a way to retry or handle a request manually.

06 / Included

Documentation and handoff

Explain the connected accounts, permissions, trigger rules and maintenance responsibilities.

Agreed before work begins: the workflow, connected tools, permissions, and human approval steps. Platform subscriptions, additional integrations, and any ongoing monitoring or support are identified in the proposal. We do not provide automated outreach campaigns, scraping, or automations that make decisions without human review.

How the engagement runs

How we build a reliable handoff

  1. Map the current handoff and the people who own each decision
  2. Define approved data, tools, credentials, and failure states
  3. Build the smallest useful workflow
  4. Test normal, invalid, duplicate, and unavailable-system cases
  5. Document monitoring, manual fallback, and ownership
Illustrative inquiry workflow: Trigger (valid inquiry accepted) → Check (needed info; not already processed) → Action (deliver to agreed destination) → Exception (failure record + notify responsible person) → Human role (decide whether the inquiry is appropriate and how to respond). Exact tools are defined for the actual project—not a claim that a specific integration is already installed.

Evidence and ownership

Access and costs

Automation often touches more than one account. Access should be limited to the work required, with keys or credentials stored appropriately rather than embedded in public pages. Any platform subscription, usage charge or ongoing monitoring obligation is identified separately.

Questions before an integration

Automation questions before we connect tools

Can you work with the tools we already use?

We first review the tools, account access and available integration capabilities. A platform replacement is not assumed.

Can automation replace our judgment about leads?

It can help route and organize requests, but qualification, consent-sensitive decisions and unusual cases may need human review. The design should make that boundary visible.

Is monitoring included forever?

No continuing support term is assumed. Maintenance, platform changes and monitoring are covered by the agreed project or ongoing arrangement.

Do I need a CRM first?

Not always. The right destination depends on lead volume, team process, reporting needs, and what can be maintained reliably.

Describe what is being copied, missed or delayed, and which systems are involved. We can then discuss a contained workflow with clear acceptance checks.
